AGM’s Unpacked: How to Make this Year’s Meeting Matter

It’s Annual General Meeting (AGM) season, a time when not-for-profit and community organisations come together to reflect, celebrate, and plan for the future. But whether it’s your very first AGM or your fifth, understanding what to expect (and how to prepare) can make the experience far more rewarding. So, what exactly is an AGM, and how can you make the most of yours this year?

An AGM is a once-a-year event where an organisation brings its members together to reflect on the past year and plan for the future. It’s a cornerstone of good governance, giving members, stakeholders and community representatives the chance to hear about the organisation’s performance, ask questions, and contribute to decision-making.

AGMs are also a legal requirement for most not-for-profit and community organisations. They ensure transparency and accountability by providing a formal platform to review financial reports, elect or re-elect Board members, and discuss strategic priorities. Beyond compliance, they’re an opportunity to celebrate achievements, share challenges, and bring members together around a shared vision.

What to expect and how to prepare

An effective AGM is well-planned, engaging, and purposeful. Whether you’re attending, presenting or chairing the meeting, preparation makes all the difference. Here are the key things you’ll want to focus on:

✅Plan the agenda carefully: A clear agenda keeps the meeting on track and ensures all essential topics are covered. This typically includes a welcome, confirmation of previous minutes, presentation of reports (such as the Chair’s and Treasurer’s), elections for Board positions, and time for general business, member questions and voting.

✅Share important documents early: Members should receive the annual report, financial statements, and notice of any motions or elections well in advance. This allows everyone to arrive informed and ready to engage in meaningful discussion.

✅Notify members with all the details: Make sure invitations include the date, time, and location, along with any requirements for RSVPs, proxies, or advance voting.

✅Engage members during the meeting: A good AGM isn’t just about formalities, encourage participation, acknowledge contributions, and keep discussions open yet structured. If you’re chairing, start on time, manage the flow of conversation, and address questions with respect and clarity.

✅Record everything accurately: Detailed minutes are essential to capture decisions, voting results, and action items. They form the official record of accountability for the year ahead.

✅Follow up after the meeting: Once the AGM concludes, circulate minutes and communicate outcomes to all members, even those who couldn’t attend. Use this moment to thank participants and highlight next steps.

✅Reflect and plan forward: A quick post-meeting review helps identify what worked well and where improvements can be made. Use these insights to guide the organisation’s strategy, operations, and governance for the year ahead.

Make your AGM count

AGMs might sound procedural, but they can be one of the most energising events in your governance calendar. They’re an opportunity to celebrate progress and impact, strengthen the relationships with members and executives, reinforce the organisation’s values and purpose, and set the stage for a successful year ahead. When run well, an AGM can boost confidence, inspire collaboration, and ensure everyone leaves feeling informed and invested in the organisation’s future.
